SRC Policies

Eligibility to apply:

  1. SRC is primarily meant for undergraduate students and undergraduate research projects. Eligible research must occur during an applicant's undergraduate degree, and the applicant(s) must be the main contributor(s) to the project. Research that began before undergraduate education can be accepted, provided that the majority of the project is completed during undergraduate study (including gap time). Exceptions to criteria 1 are enumerated below.
  2. Applicants who have matriculated from undergraduate study can apply, provided their project meets criteria 1. However, preference will always be given to applicants currently in undergraduate study.
  3. Applicants pursuing undergraduate research at a non-traditional pace are allowed to apply. However, on-campus housing may not be available to attendees significantly older than typical undergraduates.
  4. Applicants who have not attended undergraduate institutions may be considered at the discretion of conference co-directors on a case-by-case basis. In general, preference will be given to applicants currently in undergraduate study.
  5. SRC accepts international applicants, but we cannot provide visa sponsorships. A limited number of invitations can be sent out to help with applicants' visa applications each year. If accepted, it is the responsibility of the applicant to ensure that they have international travel insurance and complete Stanford's waivers, per institution policy.
  6. Applicants whose projects are not complete may apply. In these cases, decisions will be made based on current progress and reasonable future projections.

Financial aid and accessibility:

  1. Applying for financial aid will not affect an applicant's chances of being accepted. Financial aid decisions will be made separately, after decisions for applicants are made.
  2. Applicants who receive financial aid still have to first pay out-of-pocket, then use the receipt and bank statement to obtain reimbursement from Stanford University, per institution policy.
  3. In general, due to funding constraints, SRC can only offer financial reimbursement for transportation and accessibility. In particular, because SRC offers on-campus hosting, there is no reimbursement for housing, unless the applicant is unable to make use of on-campus hosting due to accessibility issues. Exceptions to this rule can be made on a case-by-case basis, by the discretion of conference co-directors.
  4. Applicants with accessibility concerns should contact SRC's organizing team.

 

On-campus housing:

  1. SRC offers on-campus housing. Applicants who opt in will be placed in a Stanford dorm room with an undergraduate host, for the duration of the conference. An air mattress and blanket will be provided for each student host.
  2. On-campus housing is free and guaranteed. However, we can only do our best to accommodate various host preferences.

Co-presenters and guests:

  1. Each project may have up to three presenters. When applying, applicants who intend to bring co-presenters should apply as a group, with one application. Redundant applications will be discarded during application review. (Note: applicants whose applications are discarded due to redundancy may still attend as co-presenters if their project is accepted, but any individual background information they provide will be lost, which might hurt the project's chances.)
  2. Attendees may bring guests to the poster sessions. With permission from co-directors, guests can be brought to other events in SRC programming. There is no upper limit to the number of guests each attendee can bring; however, no hosting accommodations, financial aid or accessibility aid will be available for guests.
